">Overview:
We are seeking a detail-oriented and experienced Invoicing and Payroll Administrator to join our team.
As an Invoicing and Payroll Administrator, you will be responsible for accurately processing and managing customer invoices and payroll for our employees.
This is a vital role within our organization, ensuring that our customers are invoiced and our employees are paid accurately and on time.
Key responsibilities include process reimbursement claims to ensure all employees are fairly compensated,
Handle the timely and accurate QuickBooks payment of employees' salaries, reimbursements, and similar payroll activities.
Organize and coordinate employee time cards to maintain and update payment records.
Update salary information when employees receive a raise or bonus.
E nsure all banking information for each employee is correct.
Create supporting documentation such as pay slips and tax forms.
Create reports to manage payroll payments, deductions, and other regular modifications.
Electronically submit all information to the bank so pays can be issued on time.
Manage payroll errors and correct issues for employees.
Balance yearly reports and reconcile bank statements monthly.
Prepare and issue QuickBooks-generated customer invoices and invoicing statements, and identify and correct errors to ensure accurate payment procedures.
Manage billing processes and procedures; create and review billing reports and invoices.
Coordinate with other departments to ensure accuracy of billing data and ensure timely payments from clients.
Provide financial analysis and advice.
Manage and review accounts and balances, identify invoice inconsistencies, and handle all discrepancies with employees.
Track and classify incoming payments and issue receipts to maintain transparency of transactions.
Maintain a comprehensive record of accurate and complete client accounts and outstanding balances and present leadership with timely reports on invoicing data.
Our ideal candidate will have strong verbal and written communication skills, 3+ years of QuickBooks Desktop experience, and 2+ years of experience in an invoicing or payroll position.
Bachelor's degree in Finance, Accounting, or Business Administration is required. Proficiency in Microsoft Office, primarily Excel, is also necessary.
Experience using relevant time tracking software, such as MavinLink, is an asset.
A good prioritization skill and the ability to juggle multiple projects simultaneously is essential.
